Sharing Clients and Projects Across Teams

Really Focus allows you to share specific clients or projects with people outside your team, enabling seamless cross-team collaboration without changing your team's ownership structure.

How Sharing Works

Every client and project in Really Focus belongs to a single team. With cross-team collaboration, you can invite individual users from other teams to view or edit specific clients and projects you own. The invited user will see the shared resource in their sidebar and can work on it alongside their own team's work.

  • View permission — the collaborator can see the client or project and all its tasks, but cannot make changes
  • Edit permission — the collaborator can view and update the client or project and its tasks, but cannot delete anything

Good to know

Only members of the team that owns a client or project can share it. Collaborators who received access through sharing cannot re-share it with others.

Sharing a Client or Project

To share a client or project with someone:

  1. Open the client or project page
  2. Click the Share button (the person-plus icon) in the top-right actions area
  3. In the share modal, enter the collaborator's email address
  4. Choose the permission level: View or Edit
  5. Click Send Invite

If the person already has a Really Focus account, they will receive an in-app notification and an email. If they don't have an account yet, they'll receive an email invitation to sign up and automatically gain access once they register.

What Gets Shared

Sharing cascades downward through the hierarchy:

  • Sharing a client gives the collaborator access to that client and all of its projects and tasks
  • Sharing a project gives the collaborator access to that specific project and its tasks only, not the parent client or sibling projects

Pro Tip

If you want a collaborator to see all work for a client, share at the client level. If they only need access to a single project, share just that project to keep everything else private.

Managing Collaborators

After sharing, you can manage access at any time through the share modal:

  • Change permissions — switch a collaborator between View and Edit using the dropdown next to their name
  • Remove access — click Remove to revoke a collaborator's access immediately
  • Cancel pending invites — if someone hasn't accepted yet, you can cancel the invite

The share modal shows two sections: Collaborators (users who have accepted) and Pending Invites (users who haven't accepted yet).

Accepting a Shared Invitation

When someone shares a client or project with you:

  1. You'll receive an email notification with a link to accept
  2. If you're already logged in, clicking the link will grant you access immediately
  3. If you don't have an account, you'll be directed to sign up first — access is granted automatically after registration

Invitation links expire after 14 days. If your link has expired, ask the person who shared it to send a new invite.

Finding Shared Resources

All clients and projects shared with you appear in two places:

  1. Sidebar — look for the Shared with me section in the left sidebar, which lists all shared clients and projects grouped by the owning team
  2. Shared with me page — visit the dedicated page at /shared for a full overview of everything shared with you

When viewing a shared client or project, you'll see a "Shared with you" badge indicating it belongs to another team.

Frequently Asked Questions

Can I share with someone on my own team?

You don't need to — all members of your team already have access to your team's clients and projects.

What happens if I remove a collaborator?

They lose access immediately. They will no longer see the client or project in their sidebar or be able to open it.

Can a collaborator delete my client or project?

No. Only members of the owning team can delete clients, projects, or tasks. Collaborators with Edit permission can update them, but never delete.

Does sharing a client share the email history too?

No. Email integration data remains private to the owning team. Sharing grants access to client/project details, tasks, and notes only.
